With great power comes great responsibility... and some prep work.
This article outlines the steps needed before using Gimme's superpowers: Auto Par, Suggested Order Quantity, and Warehouse Rationing.
1. Inventory the Warehouse
Gimme needs the on-hand quantity of products in the warehouse to calculate Auto Par, Suggested Order Quantity, and Warehouse Rationing. This fundamental feature includes new tools to help your operation count accurately and efficiently.
How to complete a warehouse inventory after completing pick orders:
- In Gimme, open the top left, three-line menu button
- Select Warehouses
- Select the Inventory tab
- Select Start Inventory
- Now that Inventory is "Active," users in Gimme Field can open the Warehouse page and select Make Inventory
- Users count in one or more units of measure
- Ex: There is an unopened box containing 24 eaches of Snickers and 5 loose Snickers. Users can count 1 box of Snickers and 5 eaches of Snickers. Gimme will combine the total on-hand inventory of snickers as 29 eaches with the knowledge of 1 unopened box within that total. (Separate and total units of measure are used for superpower calculations and transfers - which can also be moved by unit of measure)
- On-hand counts populate in Gimme as the inventory process progresses
- Users can view who has counted which products
- What has or has not been counted
- Edit counted products in Gimme
- Bring backs are held in a separate column to prevent incorrect counts
- Complete by selecting Finish Inventory
- After selecting this, users in Field will no longer have access to counting in Gimme Field
How to complete a warehouse inventory after a zone has been picked, and other areas are still being picked
- Follow the same process above, except reserve picking snacks for last
- After picking snacks away from the pick line, have a user from a different iPad count products on the pick line to provide management clarity on counting that occurred before and after picking
Other notes
- Multiple users can count at the same time
- Multiple users can count the same product without overwriting each other's count
- If two people count the same product, it will be totaled in Gimme VMS
- Management can select an individual product in the Active Inventory list to see user count quantities by unit of measure
- Counting can happen before visits are completed for the day
- Finalizing a warehouse inventory can occur before visits are completed for the day
- Bring backs will be automatically allocated back to the warehouse either way
- If a warehouse inventory is finalized before visits are completed for the day, the bring back column will not display bring backs for incomplete visits
- Products on the Not Counted screen do not need to be counted to finalize an inventory
- This allows users to complete partial warehouse inventories
- There are plans for adding filters to the Not Counted screen to assist with partial inventories
- This screen is available for management to confirm all products have been counted after a full warehouse inventory and zero out any products that are no longer physically in the warehouse
- This allows users to complete partial warehouse inventories
- Users in Field do not finalize a warehouse inventory; this action is completed only in Gimme VMS
- Current on-hand quantities will not change with this software update
2.) Track all product coming in and going out of the warehouse
To use Auto Par, Suggested Order Quantity, and Warehouse Rationing, Gimme requires at least 10 business days of consistent data input for:

- Purchase Orders
- All products, quantities, vendors, and the estimated delivery date
- Receipts
- All products, quantities, vendors, and the received delivery date
- Pick orders generated from Gimme
- Purchase Orders
How to create a purchase order
- From the Warehouses page, select Purchase Orders
- Select New Order
- Follow the prompts to add the Vendor, Product Family, and Delivery Date
- The delivery date is especially important for the Warehouse Rationing calculation!
- If you select a specific product family, this may trigger Suggested Order Quantity
- Do not use Suggested Order Quantity until your operation has accumulated at least 10 business days of data outlined above
- To edit quantities or remove products, click on the individual product
- Save as a draft or complete the purchase order at the top right
- Completing a purchase order in Gimme does not send the order to the vendor
How to enter a receipt
- In Gimme:
- From the Warehouses page, select Receipts
- Select New Receipt
- Follow the prompts to enter Vendor and Delivery Date
- Select Purchase Order to populate product quantities and cost from the created PO and finalize the receipt
- In Gimme Field:
- From the Warehouses page, select Receive Items then From Purchase Order
- Select the purchase order you're receiving
- Make any necessary product edits based on what is received
- Products counted more than once will be totaled
- Ex: A user counts 5 six packs of Pepsi in one pallet along with other drinks on the pallet
- Later, they discover 4 more six packs of Pepsi on a different pallet
- The total quantity received for Pepsi is 9
- Ex: A user counts 5 six packs of Pepsi in one pallet along with other drinks on the pallet
3.) Set the number of days for Auto Par
- The number of days for Auto Par defaults to 14 days
- This field needs to be manually changed based on the frequency of vendor deliveries and the order fill rate %
- Order Fill Rate % = the quantity of product ordered / the quantity of product received
- This is found on the Product Detail page
- Ex: I ordered 2 cases of Nacho Cheese Doritos, but only received 1 case
- The order fill rate % for Nacho Cheese Doritos would be 50%
- Ex: I ordered 2 cases of Nacho Cheese Doritos, but only received 1 case
- This is found on the Product Detail page
- Order Fill Rate % = the quantity of product ordered / the quantity of product received
- Best practice for setting the number of days for Auto Par
- Ex: Vistar delivers Nacho Cheese Doritos every 2 days, but the order fill rate is 50%
- To offset the potential for shortage on the next delivery, increase the number of day by 50% ( [ 2 * .50 ] + 2 = 3 days)
- Ex: Vistar delivers Nacho Cheese Doritos every 2 days, but the order fill rate is 50%
How to edit the number of days for Auto Par
- Open the Warehouses page in Gimme
- Search for a product
- Under the Auto Par column, click/tap on the number of days
- Enter the number of days in the pop-up window
This prep work leads to increased automation and a reduced chance of shortages in your warehouse.
In 10 business days, a Gimme rep will walk you through your first warehouse ration and suggested order quantity for a purchase order.
